Use this article to upload the legal documents visitors sign at check-in, such as an NDA, choose how long a signature stays valid, and add the document to a visitor type. These steps are for admins.
Upload a document
- Click your profile picture in the bottom-left corner and go to Settings > Visitor Manager.
- Open the Documents tab. It lists your Legal Documents & NDAs with their Type, Expiration and Created date.
- Click Upload Document.
- Click Upload a file or drag and drop your file. It must be a PDF of 10MB or less.
- In Expiration Policy (days), enter how many days a signature stays valid. The default is 30. Visitors re-sign after this many days. Enter 0 so a signature never expires.
- Click Upload.
Require the document at check-in
A document only appears at check-in once it's added to a visitor type.
- In Settings > Visitor Manager, open the Visitor Types tab and click the edit (pencil) button next to a visitor type.
- On the Workflow tab, turn on NDA Signature. A Legal tab appears.
- Open the Legal tab and click Add Document.
- Choose Existing Document and pick the document under Select Document, or choose Upload New to upload one here. Its Expiration Policy is shown under Document Settings; you change it on the Documents tab.
- Leave Require signature on so visitors must sign to continue.
- To add more documents, click Add Document again.
- Click Save Changes.
Change how often visitors re-sign, or manage a document
- Go to Settings > Visitor Manager > Documents.
- Click the menu (⋮) next to the document. You can:
- Edit: change the Expiration Policy (days), then click Save.
- View: open the document.
- Download: save a copy.
- Delete: remove the document.
Tips
- Returning visitors only sign again once their last signature has expired. With an expiration of 0, they sign once.
- To replace an NDA with a new version, upload the new PDF and add it to the visitor type in place of the old one.
