Exclude People from Being Visitor Hosts

Keep certain people from being picked as a visitor's host. Add them to the Excluded hosts list once, and they no longer appear in the host picker on any visitor type, on the check-in screen or when pre-registering a visitor. Use it for people such as executives, or for shared addresses such as distribution lists.

To manage the list, you must be an Admin. Visitor Management must be enabled for your organization.

Add people to the Excluded hosts list

  1. Click your profile in the bottom-left and go to Settings.
  2. Open Visitor Manager and select the Visitor Settings tab.
  3. Under Excluded hosts, search for a person by name or email and select them. Repeat for everyone you want to exclude.
  4. Click Save Changes.
The Visitor Settings tab in Settings. Excluded hosts is on the left with a search box for employees and a message that says no hosts are excluded. Notification email templates are on the right. Numbers 2 to 4 mark the Visitor Settings tab, the search box and the Save Changes button.

Everyone on the list appears as a chip below the search box. The change applies to every visitor type in your organization.

Remove someone from the list

  1. Go to Settings > Visitor Manager > Visitor Settings.
  2. Click the × on the person's chip.
  3. Click Save Changes.

The person can be picked as a host again right away.

What visitors and staff see

Where What changes
Visitor station (kiosk) Excluded people don't appear when a visitor looks for their host.
Pre-registering a visitor Excluded people can't be chosen as the host.
Visitor types The list applies on top of each visitor type's own host rules.

If a visitor type lets anyone in your organization be a host, the host pickers on the kiosk and on pre-registration don't list everyone. They search your directory once three characters have been typed.

Troubleshooting

You see "One of the excluded hosts no longer belongs to the organization" when saving. One person on the list has left your organization. Remove their chip and save again.

You see "Failed to save settings". Try again. If it keeps happening, contact support.

A visitor can't find their host on the kiosk. Check that the host isn't on the Excluded hosts list. If the visitor type lets anyone be a host, type at least three characters of the host's name.

If you're still having trouble, contact support@gettactic.com and include a screenshot of the Visitor Settings tab.
