If your organization syncs meeting rooms with Microsoft Outlook, every Tactic admin in your organization may receive an email titled Calendar sync has been paused. This article explains why it's sent and how to turn the room's sync back on.
What the email means
Tactic keeps each synced meeting room in step with that room's calendar in Microsoft 365. If Tactic can't connect to a room's calendar for more than 24 hours, it turns off syncing for that room and emails your admins. The email names the room's calendar address and gives a reason, for example:
Reason: The calendar resource could not be found in Microsoft 365.
While a room's sync is off, meetings booked for that room in Outlook won't show up in Tactic, and reservations made in Tactic won't show up in Outlook.
Common causes
- The room's mailbox or its settings were changed in Microsoft 365.
- The room was renamed, deleted or converted to something else in Microsoft 365.
- A new calendar address was added to the room in Tactic, but the room's sync was still turned off from an earlier calendar.
Turn the room's sync back on
- Click your profile in the bottom-left and go to Settings.
- Open Integrations & Apps and select Organization Integrations.
- Click Configure next to Outlook.
- Use the status filter to show only disabled calendars, then find the room named in the email.
- Turn the room's sync toggle back on.
Then make a test reservation for the room in Tactic and confirm it appears in Outlook.
Tip: The Edit Room window doesn't show whether a room's calendar sync is on or off. Always check the Outlook integration page described above.
If the toggle won't save
If you see an error when you turn the sync back on, the room's calendar most likely no longer exists in Microsoft 365. Check with your IT team whether the room was deleted or its address changed.
- If the room was removed for good, delete its calendar from the Outlook integration page so you stop seeing it.
- If the room has a new calendar address, update the address on the room in Tactic, then turn the sync back on.
When to contact support
Contact support@gettactic.com if the room's sync is on but meetings still aren't syncing, or if the sync keeps turning itself off. Include the room name, the calendar address from the email and an example meeting that didn't sync (date and time). Tactic Support can check the room's sync history and run a fresh sync if needed.
