Some organizations ask you to check in when you arrive for a desk or meeting room reservation. This article covers the ways to check in and what to do when check-in doesn't work.
Ways to check in
Which options you see depends on how your organization has set up Tactic.
- Tactic on the web or mobile app: use the check-in button on your reservation from the Dashboard or the Map.
- Slack or Microsoft Teams: check in from the reminder notification Tactic sends you.
- QR code: scan the code on the desk or room with the Tactic mobile app.
- Office Wi-Fi: the Tactic desktop app checks you in automatically when you're connected to your office Wi-Fi. See How to Check Into Reservations via the Office Wi-Fi.
If your admin has turned off Remote Check-In, you can only check in with a QR code or Wi-Fi, not from the app, Slack or Teams. When remote check-in is on, you can check in up to 1 hour before your reservation starts.
You always need a reservation to check in. You can't check in to a desk or room you haven't reserved.
What happens if I don't check in?
If your organization has Check-in Automated Cancellation turned on, Tactic releases your reservation when you haven't checked in within a set time after it starts (for example, 15 minutes). The desk or room then becomes available to others. If this setting is off, nothing is cancelled.
Common problems
Checking in from a Teams notification on mobile shows an error
Update the Microsoft Teams app to the latest version. A fix for this was released in May 2026, but it only applies to notifications received after the fix. If an older notification still shows an error, check in from the Tactic app (Dashboard or Map) instead.
To confirm Tactic is connected in Teams, type /status in your Tactic chat in Teams. You should see a message that your Teams integration is set up.
The mobile app closes or goes blank when I scan a QR code
Update the Tactic app from the App Store or Google Play. If that doesn't help, delete the app, reinstall it and sign in again. If you already have a reservation, you can also tap the check-in button in the app without scanning the code.
Wi-Fi check-in isn't checking me in
Wi-Fi check-in only works when all of these are true:
- The Tactic desktop app is installed on your computer.
- The desktop app is open and running.
- Your computer is connected to the office Wi-Fi your admin set up.
- You have a reservation for that day.
On a Mac, the desktop app also needs Location Services turned on. Tactic doesn't track your location; macOS requires this permission for apps that check your Wi-Fi network in the background.
My meeting room reservation was cancelled during the meeting (admins)
This is usually Check-in Automated Cancellation releasing a room nobody checked in to. Admins can review this at Settings > Facilities, choose the building, open the Settings tab and scroll to Meeting Rooms. Desks and meeting rooms have separate settings.
