Learn how Check-In works in Tactic, including when users can check in, available Check-In methods, and how to configure automated cancellation and Remote Check-In settings.
When Can I Check In?
When Remote Check-In is enabled, users can check in to their workspace or meeting room up to 1 hour before the scheduled reservation start time.
For example, if a reservation starts at 10:00 AM, the user can check in starting at 9:00 AM.
Users can check in through Tactic, the mobile app, or Slack integration.
If Remote Check-In is disabled, users can check in using a QR code or Wi-Fi Check-In, if enabled. With Wi-Fi Check-In, users are automatically checked in when they connect to the office network while logged in to the Tactic Desktop App.
Check-in Automated Cancellation
The Check-in Automated Cancellation setting allows Tactic to automatically cancel a reservation when a user does not check in within the configured period.
When this setting is enabled, the Check-in Automated Cancellation Period determines how long after the reservation start time the user has to check in.
For example:
- Reservation starts at 10:00 AM
- Check-in Automated Cancellation Period is set to 15 minutes
- The user must check in by 10:15 AM
- If they do not check in by that time, the reservation will be automatically cancelled and the workspace or meeting room will become available again.
Important: If Check-in Automated Cancellation is disabled, a reservation will not be automatically cancelled if the user does not check in.
How to Configure Check-In Settings
Check-In settings can be configured separately for Workspaces and Meeting Rooms.
- Navigate to Settings > Facilities.
- Select the building you want to configure.
- Go to the Settings tab.
- Under Workspaces or Meeting Rooms, find the Check-In settings.
Check-in Automated Cancellation
Enable this setting to automatically cancel reservations when users do not check in within the configured Check-in Automated Cancellation Period.
Check-in Automated Cancellation Period
Set the number of minutes after the reservation start time that the user has to check in.
If the configured time passes without a Check-In and Check-in Automated Cancellation is enabled, the reservation will be cancelled.
Enable Remote Check-in
When enabled, users can check in remotely through Tactic, the mobile app, or Slack integration.
When disabled, users can check in using a QR code or through Wi-Fi Check-In, if enabled for their office.
Workspaces vs. Meeting Rooms
The Check-In settings are configured independently for workspaces and meeting rooms. This means you can have different Check-In and automated cancellation rules for each resource type.
For example, you could have:
- Workspaces: Automated cancellation enabled after 15 minutes
- Meeting Rooms: Automated cancellation disabled
This gives admins flexibility to configure Check-In based on how each resource is used.
Check-In Example
A user reserves a desk from 9:00 AM to 5:00 PM.
If Remote Check-In is enabled, the user can check in starting at 8:00 AM.
If Check-in Automated Cancellation is enabled with a 15-minute cancellation period, the user must check in by 9:15 AM. If they don't, the reservation will automatically be cancelled and the desk will become available for another user.
