Build each request’s title automatically from its answers, so every request of a type reads the same way, for example “New desk for Alex Rivera at Lisbon HQ”. Employees filing the request are no longer asked for a title.
To set up a generated title, you must be an Admin. Workplace Requests must be enabled for your organization.
When to use a generated title
Use a generated title when the details that matter are already on the request form, such as who the request is for, where, and when. Every request of that type then follows the same pattern, which makes the queue easier to scan and search.
If the most useful summary is something only the employee can describe, such as a maintenance issue, leave the title off so they can write their own.
Set up a generated title
- Click your profile in the bottom-left and go to Settings.
- Open Workplace Requests and select the Request Types tab.
- Select the request type you want to update.
- Open the Form tab.
- Turn on Generate the title.
- Build the template from text and fields. See Build the template below.
- Check the Preview under the template to see how the title will read.
- Click Save changes.
Requests of this type filed after you save use the generated title.
Build the template
A template mixes your own text with fields from the request. Fields appear as chips in the template and are replaced with each request’s answers when it is filed.
- Type text as you normally would.
- To add a field, type
{where you want it and pick from the list, or click Insert. - To remove a field, click the × on its chip or press Backspace.
For example, the template New desk for {Submitter} at {Office} shows the preview “New desk for Alex Rivera at Lisbon HQ”. The preview uses sample values, not real requests.
Templates can be up to 1,000 characters.
Fields you can use
| Type | What you can add |
|---|---|
| Request details | Submitter, Owner, Office, Workspace and Request type. |
| Form questions | Short text, Single select, Multi select, Yes / No, Number, Date, Time, Person and Seat questions. Select questions show the options the employee chose. |
| Reservation questions | Each part of the answer separately: first day, days, start time and end time. Attendees and repeat dates are available when those options are turned on for the question. |
| Not available | Long text, File upload and Info block questions can’t be used in a title. |
Note: A question you just added can be used in the title once the form has been saved.
Fields are linked to the question itself, not its name, so renaming a question doesn’t break the template. For titles that always read completely, use questions that are required.
What employees see
When an employee files a request of this type, the Title question no longer appears. Tactic builds the title from their answers when they submit. The same applies when an admin creates a request of this type.
The generated title is saved with the request, so it shows in the queue and you can search for it like any other title.
Note: The Tactic mobile app may still show a Title field for these request types. The request is saved with the generated title.
Change or turn off a generated title
To change the template, edit it on the Form tab and click Save changes. Requests filed after you save use the updated template.
To go back to asking employees for a title, turn off Generate the title and click Save changes. Saving removes the template, so you’ll need to build it again if you turn the setting back on later.
Troubleshooting
- A field in the template is highlighted and you can’t save. The question was removed from the form, or it’s a type that can’t be shown in a title. Remove the highlighted chip and save again.
- A question is missing from the list of fields. Save the form first. Questions become available once they’ve been saved. Long text, File upload and Info block questions are never listed.
- You see “add text or fields to the generated title, or turn it off” when saving. The template is empty. Add text or at least one field, or turn off Generate the title.
- You see “shorten the generated title” when saving. The template is longer than 1,000 characters.
If you’re still having trouble setting up a generated title, contact support@gettactic.com and include a screenshot of the request type’s Form tab.
