Sync with Google Room Calendars
Learn how to sync your Google Room Calendars with Tactic
Tactic allows you to sync your organization's account with Google Room Calendars. This will allow your team members to make room reservations in Google Calendar and have the reservation sync to Tactic and vice versa.
How to sync Google Room Calendars
Step 1: Install the Tactic app in Google Workspace
Before integrating in the Tactic settings area, you will need to install the Tactic app from the Google Workspace Marketplace. You can find the Tactic app in Google Workspace Marketplace here.
Step 2: Integrate Tactic With Google
Now that everything is set up in our Google Calendar, we can integrate with Tactic.
To start the integration process, log into Tactic on an administrator account and navigate to: Tactic Dashboard > Settings > Integrations & Apps
Once there, click on the Org Integrations tab, locate the Google icon, and click Get Started. (If you have not installed the Tactic app on Google Workspace as referenced in Step 1, please do so now.)
Click on Setup
Tactic will verify the Google Workspace app installation and you will see a Linked button showing that the integration is set up correctly.
Step 3: Link Tactic Meeting Rooms With Google Room Calendars
The last step in the integration process is to link your Google room calendars to your Tactic meeting rooms. To do this, follow the steps below:
Navigate to the Tactic Map.
Select a conference room you'd like to link and click on the three dots to edit the room.
In the edit modal that pops out on the right, select the Calendars tab.
Click on Add Calendar and then select the calendar you want to link from the drop-down.
Click Save once you have selected a calendar.
Repeat for any other rooms you would like to sync.
Set Fallback User Email
To ensure that meeting rooms get synced properly between Tactic and Google, we recommend adding a fallback user email. This is especially important if your organization is using meeting room tablets to book conference rooms and the organizer of a meeting is not always known.
To do this, go to Settings > Integrations & Apps > Org Integrations and enter the fallback user email underneath the Google icon.
Set Properties on Calendars
Each meeting room calendar that we want to link to Tactic needs to have a few settings updated to ensure Tactic and Google sync properly
To get to the settings pane for a room calendar, follow this guide by Google. Once you have the settings pane open, ensure that the following properties are set properly:
Timezone - The timezone of the meeting room calendar should be set to whatever the respective office timezone is.
Auto-accept Invitations - Auto-accept invitations should be set to "Auto-accept invitations that do not conflict". This makes reserving an open room faster and overlapping reservations less likely to happen.
Congratulations! You have successfully linked Tactic with your Google room calendars. Any events you created in Google calendar that require a meeting room will now be synced to Tactic and any room reservations made in Tactic will now be synced to Google.
